Working as a Project Assistant Thesis Fair at the University of Amsterdam

Are you (almost) graduated and looking for a temporary role where you’ll be challenged both organizationally and communicatively? For the organization of the AI Thesis Fair at the University of Amsterdam, we are looking for someone to join the team. Does it sound like something you’d enjoy being actively involved in? Keep reading.

Working at UvA FNWI

You will be part of the Faculty of Science, Mathematics and Computer Science (FNWI) at the University of Amsterdam. Every year, the Artificial Intelligence programme organizes a large-scale event: the Thesis Fair. Here, the students present their projects to companies. As a Project Assistant, you will support the event manager and help ensure the smooth preparation and execution of this event.

The working hours will build up over the course of the project. In June, you will work 16 hours per week (preferably on Monday, Tuesday, Wednesday, or Thursday). In July and August, you will work 24 hours per week on the same days. From mid-August until November 1st, you will work full-time. You must be available during the event, which takes place on October 16th.

What will you do as a Project Assistant Thesis Fair ?

You will be involved in the communication, administration, and organization of the event. You will coordinate with students, companies, and colleagues, keep track of deadlines, and support the execution of the event on October 16th. The role runs from the end of May until the beginning of November, with a gradual increase in working hours leading up to the event.

These will be your tasks:

  • You manage email communication with students, companies, and research groups.
  • You support project registration and help create clear timelines.
  • You send reminders and keep the website up to date.
  • You assist with administration, invoicing, and general support for the event manager.
  • You are involved in the preparation and present on the day of the event.

What you bring

For this role, we are looking for someone who will no longer be a student from September onwards. Have you already graduated, will you graduate this summer, or are you currently finishing your thesis? As long as you are available full-time during the fall, we would love to hear from you.

In addition:

  • You have experience in a similar role, with a focus on administration and customer service.
  • You are available from the end of May until the beginning of November, including October 16th.
  • You communicate clearly in English, both written and spoken. Dutch is a plus.
  • You are well-organized, take initiative independently, and enjoy working as part of a team.

N.B: You are available for the required number of hours throughout each phase of the project.

These are the expected working hours:

  • 1 June – mid-July: 16 hours per week (Mondays, Tuesdays, Wednesdays, or Thursdays)
  • 20 July – 14 August: 24 hours per week (Mondays, Tuesdays, Wednesdays, or Thursdays)
  • 17 August – 6 November 2026: Full-time

What the University of Amsterdam offers

You can start from June 1st as a Project Assistant for 16–38 hours per week over a period of 5 months. The position falls under scale 6 of the Dutch Universities collective labor agreement (CAO), meaning you will earn a minimum hourly wage of €18,40. This can increase up to €21,53 depending on your experience.
